The Learning Rooms worked with The Department of Transport to create an instructional video to highlight the importance of good records management to staff.
About the Department of Transport
The Department of Transport is responsible for the safe and efficient movement of people, goods and services throughout Ireland. They are also responsible for transport policy and overseeing transport services and infrastructure. Their mission is to shape the safe and sustainable development of transport to support economic growth and social progress.
The Challenge
The Department of Transport needed to ensure staff were able to properly and securely manage all records relating to their work. It was important that staff understood why proper documentation practices were necessary. The Department of Transport required a video that was short, accessible and engaging which would provide key information to staff on their responsibilities.
The Solution
The Department for Transport has worked with Learning Rooms to produce a 5-minute video on records management. The instructional video includes guidance on how best to store documents so that they are easily accessible when needed, as well as guidance on the types of information that must be kept confidential or restricted from public view. It covers topics such as:
- Retention policies and procedures
- Methods for tracking changes
- Disposing and archiving
- Security measures
- Compliance with legislation.
