About the job

We have an exciting opportunity for a professional Office Administrator to join our team. Reporting to our Finance Manager, you will also provide proactive and professional administrative support to all departments where required (e. g. training, eLearning, HR). You will be responsible for the smooth and efficient running of the office on a day-to-day basis. As the first point of contact for our clients and suppliers you represent the Company and should have excellent communication and interpersonal skills.

Your day-to-day

  • Perform general administrative tasks (answer the phone, respond to email queries, schedule meetings, sort mail, prepare documents).
  • Support the Finance function on a daily basis e.g. processing day-to-day financial transactions; credit control management; and process sales and purchase invoices and payments.
  • Ensure adequate supplies of stationery, IT and phone equipment, kitchen supplies etc.
  • Organise and manage the office environment including liaising with utility providers, e.g., cleaning, security.
  • Monitor and maintain the office and communal areas, including arranging necessary repairs and maintenance.
  • Manage relationships with suppliers regarding contracts and pricing.
  • Implement and maintain filing systems including data input.

This is not an exhaustive list, you will be required to perform other duties as assigned.

To be considered for interview, you should have:

  • Ideally have a Diploma in Business Studies or equivalent.
  • Have a thorough knowledge and relevant work  experience in office management/administration, customer service and basic bookkeeping processes.
  • Have proficient computer skills including experience with the Microsoft Suite.
  • Be willing to learn new software and systems.
  • Have a positive attitude, with a friendly and professional approach.
  • Be able to maintain high levels of discretion.
  • Be results and quality oriented with the ability to multi-task and establish priorities.
  • Have excellent attention to detail.
  • Be a self-starter as well as a team player.

Location: Office based. Sandyford, Dublin 18

Hours: Monday – Friday, 09.00 – 13.00

Salary: €15,000 per annum
